Admin Assistant

Our client a historic membership organisation based in London is seeking an assistant to support the Director of Membership & Education, providing administration support on a range of activities, events, and projects.

Duties will include:
• Providing administrative support, including but not limited to diary management, departmental administration, meeting, and committee support, making travel and accommodation arrangements, and acting as a first point of contact if needed.
• Providing administrative support to the committees and groups for which the Director is responsible, including setting dates, drafting agendas, coordinating supporting papers, liaising with members of the committees, and taking minutes of meetings.
• Acting as communications coordinator for the Department, providing guidance and support on the creation of communications content and advocating best practice.
• Assisting the Director with policy work, including undertaking research and producing drafts.
• Assisting the Director and Department with the organisation of member engagement and education events and activities.
• Administering applications for the organisations Fund, including receiving and undertaking an initial assessment of applications, making recommendations on applications to the Director, dealing with enquiries, and processing payments.
• Making the arrangements for an annual thank you dinner for contributors to the organisation’s programmes, including preparing the guest list, sending invitations, and liaising with the catering team.
• Providing a quality front line receptionist service to members, students and visitors as cover for the main receptionist.

Person Specification
• At least one year’s previous experience in an administrative support role within a busy working environment.
• Experience of working for either a non-profit organisation or in a membership or education / training environment.
• Experience of arranging formal events / meetings
• A highly developed attention to detail and good numeracy skills
• Ability to use IT extensively including databases (Essential: Word, Excel and Outlook. Desirable: CRM databases).
