As the Executive Assistant to the CEO and Secretary to the Trustees, you will play a vital role in supporting the charity to achieve their mission and deliver our ambitious strategy.
You will develop and deliver a comprehensive organisational, administrative and management support service to the CEO and Board of Trustees. You will be dealing with a wide range of external and internal stakeholders and will be the first point of contact for the Chief Executive and Board. You will build strong working relationships across the organisation and with external stakeholders.

This role will suit someone who has great experience as an EA at senior management and/or Board level and be excited at the opportunity to be the CEO’s ‘right hand’. You will have sound judgement and the confidence to push back as needed. You will have a meticulous eye for detail, producing clear and compelling communications, and proactivity in abundance, and you must enjoy working in a fast paced entrepreneurial environment that is mission driven.

Key duties:
- Manage, co-ordinate and forward plan the CEO work schedule, diary and inbox ensuring that time is used as effectively as possible, and deadlines are achieved.
- Filter incoming calls/email/mail, responding to and referring on to other staff where appropriate.
- Arrange internal and external meetings on behalf of the CEO, including writing agendas, ensuring rooms are booked, refreshments organised, and papers are collated, submitted, and sent out on time.
- Ensure the CEO is briefed and prepared for meetings and aware of relevant information.
- Arrange itineraries and make travel arrangements including visas, checking travel health
- requirements and obtaining foreign currency.
- Draft and edit reports, letters, presentations, speeches, and papers on behalf of the CEO.
- Manage the annual programme of Trustee meetings (Board meetings, sub-committee meetings, Trustee away day and AGM)
- Managing all administrative governance documents

Previous experience required:
- Working at Board level and managing an annual programme of governance responsibilities including production of accurate and detailed minutes and adhering to UK regulatory governance requirements
- Providing high level Executive Assistant support to a Director or CEO - including full management of diary, emails, and correspondence
- Managing senior external stakeholders in a personable and responsive way
- Excellent communication and interpersonal skills with the ability to interact culturally, linguistically, and diplomatically
- Working in a fast paced environment and managing a multitude of high profile commitments and priorities
