Partner Secretary/PA

Our client is a professional services firm based in Manchester looking to recruit a permanent Partner Secretary to support 4 Partners.
Company offers Hybrid working - 2 days in the office and 3 at home. Hours are 9am to 5pm Monday to Friday.

Duties will include:

Diary management on behalf of all 4 Partners– arranging external and internal meetings, Zoom and MS Teams calls,
as well as managing any diary conflicts and helping partners with preparation for calendar events.
Ensuring each Partner’s day runs smoothly and keeping on top of their workload – daily catch ups and reminders.
Gatekeeper and first point of contact – meeting and greeting in person and over the telephone.
E-mail/inbox management on behalf of all 4 Partners – checking, prioritising and summarising e-mails on a daily
basis and dealing with correspondence where necessary, collation of any action points.
Collation and preparation of documents – for meetings, letters, letters of engagement, reports, proofing – all in line
with the company’s corporate image policy.
Attending meetings and taking notes/minutes, ensuring that action points are followed up.
Office management duties to ensure the smooth and efficient running of all aspects of the Manchester office,
including liaising with the landlord, contractors and the company’s London based Facilities.
Booking attendance at meetings, conferences/seminars (including national and international travel) and organising
trip itineraries and logistics.
Liaising with clients and their Secretaries/PAs.
Responsible for the 4 Partners’ billing – raising bills, running reports and keeping a tracker of what has been
sent/paid, reminding partner to send bills out, attend monthly debtor meetings with credit control to follow up and
chase debtors.
Processing Expenses.
Invoicing.
Updating and maintaining the company’s CRM system.
Helping the Partners organise their papers and confidential filing.
Producing PowerPoint presentations.
Proof-reading of all documents to ensure the delivery of work of the highest quality.
Carrying out PDF to Word conversions and vice versa.
Covering other Secretaries in times of annual leave.

Salary is £28,000 - £32,000 + fantastic benefits package.

The successful candidate for this role will:

Have previously worked as a PA/EA supporting more than one MD, Partner or Director.
Have previously managed more than one diary.
Have previously managed more than one inbox.
Have excellent organisational and time management skills.
Be calm under pressure.
Have excellent communication and interpersonal skills.
Be proactive and able to work on their own initiative.
Be able to maintain high levels of confidentiality and discretion at all times.
Be reliable with a strong work ethic and a ‘can-do’ approach.
Have excellent attention to detail.
Have good IT skills - MS Word, Outlook, Excel and PowerPoint.
