We are currently seeking an immediately available experienced, highly motivated and organised Executive Assistant to provide comprehensive support and management services to the CEO. The ideal candidate for this position is someone who possesses strong communication skills and who isn’t afraid to challenge or be challenged. As the role is critical to business success, the candidate must also possess excellent time keeping skills, maintain a high level of professionalism at all times and be comfortable working with confidential information. This may also provide support other senior executives within the business, so an ability to multitask and prioritise is essential.

Key duties:

-Calendar Management: Proactively manage the CEO’s calendar, schedule appointments, and coordinate meetings, ensuring optimal time allocation and efficient use of resources.
-Inboxes: To assist the CEO in managing their inbox.
-Support for other management: potential to support the other members of the senior management team.
-Personal Management: Assisting the CEO’s personal and external commitments to either manage or allocate time appropriately.
-Travel Arrangements: Plan and coordinate all travel arrangements, including flights, accommodations, and transportation, for the CEO and other executives as required.
-Communication Management: Screen, prioritise, and manage all incoming communications, including emails, phone calls, and mail. Draft and proofread correspondence on behalf of the CEO.
-Meeting Coordination: Prepare meeting agendas, collate relevant documents, and ensure all necessary materials are provided to participants in a timely manner. Attend meetings, take minutes, and follow up on action items as required.
-Document Preparation: Draft, edit, and format various documents, including reports, presentations, and contracts.
-Ensure accuracy and consistency in all materials produced. Receiving dictations and effecting the requests. Support on the Board and Inventor presentations.
-Project Support: Assist the CEO in managing and executing various projects, tracking progress, and ensuring deadlines are met. Conduct research and provide comprehensive summaries when needed.
-Confidentiality: Handle sensitive and confidential information with discretion and maintain a high level of professionalism in all interactions.
-Office Management: Coordinate and oversee administrative tasks within the CEOs office, including maintaining supplies, managing expenses, and handling invoices.

Experience required:

-Extensive experience as an Executive Assistant, preferably supporting C-suite executives or senior partners.
-Excellent verbal and written communication skills, with the ability to interact professionally and confidently with individuals at all levels.
-Exceptional organisational abilities with the capacity to multitask.
-Demonstrated ability to handle confidential and sensitive information with discretion and maintain strict confidentiality.
-Proficient in using Google Suite (Doc, Excel, PowerPoint, GMail) and other relevant software.
-Strong ability to design and build board level standard powerpoint presentations which are highly visual and engaging.
-Ability to anticipate needs, take initiative, and demonstrate resourcefulness in problem-solving.
