Our client is a professional services firm based in the City of London, looking to recruit a Permanent PA. You will provide PA support 1:4 to 3 Partners and a Director.
Company offers Hybrid working - 2 days working in the office and 3 days working from home.

Duties will include:

•Diary management for the Partners and Director, arranging internal and external meetings, Zoom and MS Teams
calls and conference calls, liaising with clients and their Assistants
•Inbox management on behalf of the Partners and Director - checking, prioritising and summarising e-mails on a daily basis and dealing with correspondence where necessary in their absence; collation of any action points
•Collating documentation for meetings - letters of engagement (LOEs), reports, proof reading and circulating agendas in advance; carrying out research as and when required.
•Booking meeting rooms, required refreshments, lunches and making dinner reservations
•Booking attendance at meetings, conferences/seminars
•Booking national and international travel and organising trip itineraries and logistics.
•Handling telephone enquiries in a professional and polite manner, taking accurate messages and following up on any agreed actions
•Processing expenses
•Acting as First Line IT support for any basic IT queries raised by fee-earners
•Passing to information to the Team Administrator to enter into the CRM system
•Acting as First Line IT support for any basic IT queries raised by the Partners or Director
•Being responsible for billing duties on behalf of the Partners and Director and delegating tasks to the Team Administrators including raising bills, running reports, maintaining a detailed tracker of bills paid and awaiting payment and the follow up with debtors.
•Drafting and typing of confidential matters for the Partners and Director
•Producing PowerPoint presentations
•Proof-reading documents to ensure the delivery of work is of the highest quality
•Converting documents from PDF to Word and vice versa
•Working with the Marketing Team as required, to include helping produce tenders, credential sheets, events, pitches, handouts for client events/seminars etc.

Salary is £42,000 - £45,000 pro rata.

The successful candidate for this role will:

•Have previously worked as a PA/EA supporting more than one individual - MD, Partner or Director
•Have previously managed more than one diary
•Have inbox management experience
•Have excellent organisational and time management skills
•Be calm under pressure
•Have excellent communication and interpersonal skills
•Be proactive and able to work on their own initiative
•Be able to maintain high levels of confidentiality and discretion at all times
•Be reliable with a strong work ethic and a ‘can-do’ approach
•Have excellent attention to detail
•Have good IT skills - MS Word, Outlook, Excel and PowerPoint
