Personal Assistant

Our client, a professional body and historic society, is seeking an experienced PA to join the team that manages the CEO’s office. As PA you will support two of the Directors and assist the work of the wider team.

Main responsibilities will include:
• Managing the complex diary commitments for 2 x Directors
• Inbox management for the Directors. Dealing with incoming emails flagging daily actions and corresponding on behalf of the Director
• Efficient prioritisation of meetings and commitments. Arranging and setting up meetings/conference calls ensuring the Director has had sufficient time to prepare
• Coordinating with Heads of department to ensure all papers and briefings for meetings are delivered on time and include the right level of detail
• Assist with large scale events (internal and external), organising, assisting, and ensuring the smooth logistical running of conferences and events of all scales.
• Arranging overseas travel and UK travel itineraries. Organising security clearance, visas, vaccinations, liaising with local organisers, making logistical arrangements, accommodation and compiling relevant documentation.
• Minute taking and follow up of actions
• Managing expenses and foreign currency
• Screening calls

To apply, you must have/be:
• Experience working in a multi-tasking environment juggling priorities, for a minimum of 3 years as a Personal Assistant preferably in a CEO office environment.
• The post holder must be confident and show initiative with great attention to detail.
• Exceptional time management
• Confident managing heavy workloads and able to prioritise tasks with limited supervision or instruction
