Executive Assistant

Our client is a small, well established, consultancy firm looking to recruit a permanent Executive Assistant to support two of its Partners. Duties will include:

*Extensive diary management for both Partners, booking meetings, scheduling calls and working across multiple time zones
*Liaising with high profile clients, Senior Executives and their Assistants
*Preparing both Partners for their meetings with all the necessary paperwork and information
*Inbox management - monitoring and actioning emails in a timely manner
*Daily logging of meetings, contacts, emails, and letters on to the database
*Managing and updating internal reports on a regular basis for both Partners ahead of their meetings
*Processing expenses
*Creating and formatting documents in Word, Excel and PowerPoint
*Assisting with the administration regarding the process of taking on new clients
*Preparing invoices for clients including liaising with the procurement teams of large corporate clients and chasing debtors
*Assisting both Partners with projects
*Covering other EAs during times of sickness and holiday

Salary is £40,000 + bonus + fantastic benefits package.

The successful candidate for this role will:

Have previous EA/PA experience supporting more than one MD or Partner or senior level executive
Have previously managed busy diaries
Have previously managed inboxes
Have excellent organisational, time management and multi-tasking skills with the ability to manage both Partners and their own time effectively
Be calm under pressure and be able to meet deadlines set
Have good problem solving skills
Have a proactive approach with ability to use own initiative
Have excellent communication and interpersonal skills with the confidence to liaise at all levels and maintain discretion at all times when dealing with confidential matters.
Have a good command of written business language and grammar and a high level of numeracy
Be process driven
Be an enthusiastic self-starter who is able to work with minimal direction
Excellent MS Office skills – Word, Excel, PowerPoint, Outlook
