A global biopharma company currently experiencing huge success and in the process of big corporate developments! This ground breaking organisation are setting up a London HQ and urgently need you. The role

You will provide a seamless Executive Assistant service to the CEO an extremely impressive, high profile individual with a huge remit and a frenetic schedule. As well as this you will be pivotal in the build out of the London function and be called upon to manage a range of projects simultaneously all whilst ensuring calmness and clarity reign amid the complexity and pressure!

• You will act as a gatekeeper and conduit to the CEO ensuring a smooth flow of communication through the office
• Complex and intelligent coordination of the schedule with intricate attention to detail
• Arrange and facilitate meetings with multiple parties and arrangement all subsequent logistics, agendas and
itineraries
• Responsible for all aspects of arranging travel and accommodation including coordinating visas, booking flights,
hotel accommodation, car transfers and taxis, producing travel packs and itineraries
• Oversight of the CEO’s inbox including prioritising correspondence, drafting emails and flagging urgent emails for
response
• You will be responsible for coordinating action items for yourself, the CEO and other team members to ensure
clarity on deliverables and timelines. Attend meetings, capture action points, allocate tasks and collate
responses.
• Produce, design and format high quality documents in MS Office as well as a range of other systems and
software as required
• Manage, mentor and guide the Administrative Assistant and liaise closely to ensure a smooth and collaborative
workflow
• Support on a wide range of projects as required ensuring that time and resources are pre-planned and
prioritised to ensure maximum results in the most streamlined way possible
• Organise events such as client entertainment, management away days, community conferences, team building
activities, lunches and staff away days, as required
• Process expenses in line with company policy in an accurate and timely manner
• Assist the CEO with personal tasks and errands as required

You

As you can see this is a special role and we are seeking an absolutely exceptional Executive Assistant. You will have experience supporting a Senior Executive in a fast paced, global environment. Experience in a start-up or biopharma environment may also be advantageous but not essential.
