As Personal & Business Assistant, your role will be to support the Director with all aspects of the running of the business. The remit is varied and rewarding with small detail tasks running alongside large projects. To be successful you will require laser like focus, a genuine passion for detail and take pride in providing five star service while operating at the highest levels of discretion and tact. Based in a quiet, intimate design studio in Chelsea.

The role:

As a true right hand you will anticipate needs, plan effectively and relish a multi layered remit. Working closely with the Director and forming part of a small close knit team this key role straddles a range of business support and personal assistant tasks of huge variety and all areas must be given equal importance to ensure the remit is fulfilled.

• Coordinate complex scheduling for the Director ensuring a well planned business and personal calendar with all end to end logistics proactively managed
• Being the point person for all team members to ensure a smooth flow of communication between the director and the team
• Take minutes in both internal and external meetings and cascade to all relevant parties
• Conduct detailed research and present findings in perfectly formatted reports
• Support business development activities by researching relevant leads and maintaining up to date effective records
• Manage actions across the business, providing helpful and timely reminders of deadlines to ensure success and cohesion between all parties
• Discrete and effective coordination of HR processes
• Create exceptional tailored client experience on telephone, email and in person always striving to exceed expectations, go the extra mile and think of every detail ahead of visits
• Ensure the studio remains immaculate and perfectly organised, safe and secure, coordinating suppliers for any required maintenance or refurbishment
• Manage procurement whilst driving value and service from suppliers
• Coordinate and execute internal and external events and activities ensuring they are on brand on budget
• Create intricate end to end logistics and itineraries both for client and team
• Keep accurate and up to date accounts spreadsheets and coordinate regular liaison with accountant
• Handle the smooth running of IT and Technical systems, trouble shooting first line queries and escalating where necessary
• Act as both gatekeeper and conduit for the Director fielding and managing ‘access’ at all times
• Provide a variety of private PA duties including but not limited to travel, accommodation and restaurant bookings, gifting, coordinating with household staff and personal paperwork

We are open to candidates with a range of experience, this is likely to include one of the following backgrounds;

• PA/EA to an executive or small team
• Experience in Operations/HR
• Researcher in media, industry, finance or creative
• Experience in apparel/fashion merchandising or operations
