Conference Administrator (12 Month Contract)

Conference Administrator

Are you seeking a new and exciting role where you are able to gain or build on your current experience within the conference sector? Then this may the ideal role for you! A great opportunity has arisen to join a membership organisation that is spread across 70 different countries. The Conference Administrator will be joining a small team who currently organise around 40 conferences annually relating to a wide range of industry sectors some as diverse as pharmaceuticals to food and agriculture. This role will be mostly office based and will manage the delegate journey for all members attending the conferences. You will also support the organizers with the development of high quality and successful conferences.

Delegate Management (70%)

- Entering details onto database, raising invoices and sending out confirmations
- Dealing with requests by email/telephone and chasing payments as required
- Preparing badges and delegate packs for conferences, general photocopying and filing
- Attending events: managing onsite registration of delegates/acting as point of contact

Website support (20%)

- Adding events to ensure they can go live onto the website (training provided)
- Adding logos, images, flyers and presentations to populate to the website (training provided)

Support to the conference team (10%)

- Assisting with Membership events
- Ordering lunch for ad-hoc committee meetings, copying agendas, minutes, etc.
- Organising "call for papers and posters" and managing timescales/deadlines as appropriate
- Designing flyers and postcards using Indesign software (training provided) and proofreading

Knowledge, skills and experience required for this position

- Strong organisational, communication/customer service skills and ability to multitask
- High level of computer literacy, in particular with Microsoft Office Suite; preferably databases
- Ability and willingness to act on own initiative both individually and as a member of a team
- High aptitude for spelling and grammar and accuracy in data entry and proof-reading
- Conference/events graduate or related degree (desirable)
- Understanding of conference organisation for "fee paying" conferences (knowledge of the organisation of conferences desirable)
- Experience of working with volunteers/committees (desirable)
