Team Assistant

Junior PA / Team Assistant

Working within a fast-paced environment, this is a great opportunity to join a growing executive search business. As the Team Assistant, you will be confident and extremely well organised with excellent customer service skills. Exceptional attention to detail and the ability to use your initiative will be crucial for this role as you will need to be able to think on your feet and juggle conflicting demands.

The successful candidate will be highly organised, a self-starter with excellent communication skills and a good eye for detail. Situated at the heart of what the team does, you will have a responsibility to identify and implement effective ways of working. You will use your strong interpersonal skills to coordinate the teams activities and will take pride in providing support for others. You will report to the Operations Manager.

Key responsibilities will include:

Provide overall administrative support to colleagues, including, meeting coordination, room bookings, preparing documents and presentation, taking meeting minutes and managing correspondence
Full office management; environment, IT systems and support, supplies including stationery and refreshing meeting rooms
Responsible for new joiner inductions and training schedules
Prepare and proof read documents thoroughly before distribution internally and externally
Meet and greet visitors, manage incoming email correspondence and answer the mainline telephone
Ensure that office systems such as phones, printer, headsets are in good working order
Responsible for coordinating day to day administration duties
Responsible for managing the charitable activities and social calendar
Inputting, updating, coding and extracting information from the database to assist in the search process
