Fluent Japanese Speaking Administrative Assistant

A unique new job vacancy for a Japanese speaking Administrative Assistant, at a corporate investment company based in London. This organisation is a Japanese company, and this very much comes across in their company culture and values.
The main purpose of the Administrative Assistant is to provide on time and accurate administration and documentation of services, processes and resources. This will involve filing, archiving and administration of all related and required documents according to defined departmental standards. Responsibilities will also involve handling and administering postage, fulfilment and courier requests (internal/external).Providing quality services in the reception area such as, on occasions, welcoming guests and offering refreshments as appropriate. You will also need to take responsibility for keeping the office tidy and presentable, in particular the meeting rooms once meetings have finished.
You will also be expected to upload calendars for the business development team and produce a weekly summary report for circulation, report to Marubeni senior management when VIPs are visiting London and send an e-mail report to Marubeni senior management when our Company President is travelling overseas.

In terms of providing administration support to the team, it will involve duties such as coordinating travel arrangements including flight and hotel booking for staff visiting from Japan as well as staff travelling to Japan, Europe and Africa. Arranging transportation for VIP guests is also part of the role, booking meeting rooms as required, input sales and purchases on accounting system (SAGE). Preparing reports and spreadsheets and reconcile all accounts up to Balance Sheet & Profit & Loss download. Inputting expense claims on excel spreadsheets, process the payment paperwork and finally input on accounting system. Preparing invoices, bank payment applications and other paperwork as required. Assist with the preparation of meetings, book rooms, arrange refreshments and transportation where applicable. Any other tasks as may be requested by the manager in order to meet the operational need of the business that are deemed to be within the job holder’s sphere of competence.

Successful candidates should favour working in a team to collaborate and support colleagues and peers across the organisation, while still being able to work independently when needed. Ideally you should be somebody who uses their own initiative, and be results oriented and adaptable in juggling multiple demands. Attention to detail, and clear communication skills are also ideal.

This is a brilliant opportunity for Japanese speaking Administrative Assistants who are keen to work for a professional investment company located in the, high in demand, finance hub of the city. Ideally you should have previous experience in an Administrative role, excellent oral and written English and be fluent in Japanese. Knowledge in Microsoft Office software is crucial, and some basic accounting skills and knowledge of SAGE 200 is also desired.
